Receptionists and Information Clerks
Receptionists and Information Clerks at ForseMark serve as the
welcoming face of the company,
providing exceptional customer service to visitors, employees, and
callers. They play a vital role in
creating a positive and professional first impression and ensuring
smooth communication within the
organization.

Typical Duties
- Greet and welcome visitors as they arrive at the office, providing
a warm and friendly atmosphere.
- Answer and direct incoming phone calls to the appropriate person or
department, taking messages when necessary.
- Provide information to visitors and callers about ForseMark's products,
services, and general inquiries.
- Manage the reception area, ensuring it is clean, organized, and presentable
at all times.
- Assist with scheduling appointments, meetings, and conference room
reservations.
- Receive and distribute mail, packages, and deliveries to the appropriate
recipients.
- Maintain and update employee and visitor logs, ensuring accuracy and
confidentiality of information.
- Assist with administrative tasks such as filing, data entry, and photocopying
as needed.
- Respond to inquiries via email or online communication channels in
a timely and professional manner.
- Coordinate with other departments to ensure seamless communication
and customer service.
- Follow security procedures to monitor and control access to the premises.
- Uphold a high standard of customer service, ensuring all interactions
are courteous and helpful.
Experience and Qualifications
- High school diploma or equivalent; additional certification in office
administration or customer service is a plus.
- Proven experience as a Receptionist, Front Desk Clerk, or similar
role, preferably in a corporate environment.
- Excellent communication skills, both verbal and written, with a friendly
and professional demeanor.
- Proficiency in using multi-line phone systems and office equipment
such as copiers and printers.
- Strong organizational skills to manage multiple tasks and priorities
effectively.
- Attention to detail in maintaining accurate records, logs, and schedules.
- Ability to remain calm and composed under pressure, handling challenging
situations with professionalism.
- Familiarity with basic computer applications such as Microsoft Office
Suite (Word, Excel, Outlook).
- Customer-focused mindset with a dedication to providing exceptional
service to visitors and employees.
- Willingness to learn about ForseMark's products, services, and company
policies.
- Punctuality and reliability in attendance to ensure coverage during
office hours.
