Receptionists and Information Clerks

Receptionists and Information Clerks at ForseMark serve as the welcoming face of the company,
providing exceptional customer service to visitors, employees, and callers. They play a vital role in
creating a positive and professional first impression and ensuring smooth communication within the
organization.


Typical Duties

  • Greet and welcome visitors as they arrive at the office, providing a warm and friendly atmosphere.
  • Answer and direct incoming phone calls to the appropriate person or department, taking messages when necessary.
  • Provide information to visitors and callers about ForseMark's products, services, and general inquiries.
  • Manage the reception area, ensuring it is clean, organized, and presentable at all times.
  • Assist with scheduling appointments, meetings, and conference room reservations.
  • Receive and distribute mail, packages, and deliveries to the appropriate recipients.
  • Maintain and update employee and visitor logs, ensuring accuracy and confidentiality of information.
  • Assist with administrative tasks such as filing, data entry, and photocopying as needed.
  • Respond to inquiries via email or online communication channels in a timely and professional manner.
  • Coordinate with other departments to ensure seamless communication and customer service.
  • Follow security procedures to monitor and control access to the premises.
  • Uphold a high standard of customer service, ensuring all interactions are courteous and helpful.

Experience and Qualifications

  • High school diploma or equivalent; additional certification in office administration or customer service is a plus.
  • Proven experience as a Receptionist, Front Desk Clerk, or similar role, preferably in a corporate environment.
  • Excellent communication skills, both verbal and written, with a friendly and professional demeanor.
  • Proficiency in using multi-line phone systems and office equipment such as copiers and printers.
  • Strong organizational skills to manage multiple tasks and priorities effectively.
  • Attention to detail in maintaining accurate records, logs, and schedules.
  • Ability to remain calm and composed under pressure, handling challenging situations with professionalism.
  • Familiarity with basic computer applications such as Microsoft Office Suite (Word, Excel, Outlook).
  • Customer-focused mindset with a dedication to providing exceptional service to visitors and employees.
  • Willingness to learn about ForseMark's products, services, and company policies.
  • Punctuality and reliability in attendance to ensure coverage during office hours.
