Payroll and Timekeeping Clerk

Job Description


As a Payroll and Timekeeping Clerk at ForseMark, you will play a vital role in maintaining
and processing employee payroll and timekeeping records. This position
involves ensuring accurate and timely payroll processing, adherence to
company policies and procedures, and compliance with relevant regulations.



Typical Duties

  • Collect and verify timekeeping information from employees, including hours worked, overtime, leave requests, and absences.
  • Input and update employee data in the payroll system, such as new hires, terminations, salary changes, and deductions.
  • Calculate and process employee wages, salaries, bonuses, commissions, and other compensation accurately.
  • Review timesheets, pay stubs, and payroll reports for discrepancies, errors, or inconsistencies.
  • Prepare and distribute payroll checks, direct deposits, and electronic transfers on scheduled pay dates.
  • Address employee inquiries, concerns, or discrepancies related to payroll, deductions, or taxes.
  • Ensure compliance with federal, state, and local payroll tax regulations, including withholding calculations and reporting.
  • Prepare and submit payroll tax filings, reports, and payments to appropriate agencies in a timely manner.
  • Maintain confidentiality of payroll and employee information, adhering to data privacy and security protocols.
  • Generate payroll reports, summaries, and analyses for management review or auditing purposes.
  • Assist in reconciling payroll accounts, bank statements, and general ledger entries.
  • Stay updated on changes in payroll laws, regulations, and industry best practices.
  • Coordinate with HR and finance departments to ensure accurate and timely processing of payroll data.
  • Utilize payroll software and systems to streamline processes, improve efficiency, and reduce errors.
  • Assist in administering employee benefits, deductions, and retirement contributions.
  • Provide training and guidance to employees on timekeeping systems, procedures, and policies.
  • Participate in year-end payroll processing, including W-2 preparation and distribution.

Experience and Qualifications

  • High school diploma or equivalent; associate degree in Accounting, Finance, or related field preferred.
  • Proven experience as a payroll clerk, timekeeping specialist, or similar role.
  • Knowledge of payroll processes, procedures, regulations, and tax laws.
  • Proficiency in using payroll software, timekeeping systems, and Microsoft Office applications.
  • Strong numerical aptitude and attention to detail in data entry and calculations.
  • Excellent organizational skills to manage multiple tasks, deadlines, and priorities.Ability to communicate effectively with employees, managers, and external agencies.
  • Understanding of confidentiality requirements and ethical standards in handling payroll data.
  • Problem-solving skills to resolve payroll-related issues and inquiries.
  • Knowledge of general accounting principles and practices related to payroll.
  • Familiarity with electronic payment methods, direct deposits, and payroll deductions.
  • Commitment to accuracy, integrity, and compliance in payroll processing.
